Office Administrator

Global Rail Services Ltd is part of the Global Infrastructure Group and is a leading Irish provider of design, construct and commission services for clients across a wide range of engineering and infrastructure sectors including mainline railway systems, light rail, utilities and telecoms.

We are currently seeking an experienced Office Administrator for our office based in Rathcoole, Co Dublin. The individual will be responsible for general office duties, assisting and working closely with all departments of the company.

Roles & Responsibilities will include but are not limited to the following:

  • Administration support for various departments within the company
  • Administration support for site teams
  • Reception
  • Managing internal mailboxes and website submissions
  • Minute taking
  • Filing, scanning and archiving
  • Booking training courses and ensuring staff training records are kept up to date
  • Applying for and updating Permits to Work
  • Ordering and maintaining office stationery and equipment
  • Booking travel and accommodation
  • Registering and taxing company vehicles
  • Fleet management
  • Reporting for management
  • Ensuring insurances are in place, assisting with insurance renewals and arranging specific indemnity when required
  • Managing fuel and mobile phone account
  • Registering and updating employee apprenticeships
  • Processing paperwork for new employees
  • Issuing office equipment
  • Updating website and company newsletter
  • Recruitment advertising
  • Raising POs when requested
  • Other admin duties as may be assigned from time to time
  • Providing annual leave cover when required

Successful applicants will have the following:

  • Minimum of 1-2 years’ experience in a similar role
  • Experience in a fast paced environment
  • Knowledge of MS Word, Excel, Powerpoint, Outlook
  • Excellent organisational skills
  • Ability to multitask
  • Impeccable time keeping
  • Excellent attention to detail
  • Ability to work to strict deadlines
  • Ability to work on own initiative
  • Ability to prioritise work and follow management instruction
